Terms of use: Gokaizen Suite

Effective date: October 14, 2026

These terms govern the use of Gokaizen Suite ("the suite") at suite.internal.gokaizen.cloud. They apply in addition to the Auth terms of use, which cover your Gokaizen account. By signing in to the suite, you agree to them.

Access and confidentiality

  • The suite is for authorized Gokaizen personnel only. Your access depends on the roles granted to you by an administrator.
  • Use the information you can access only for the work your role requires. Employee, payroll, customer and supplier information is confidential. Do not copy, export, photograph, disclose or share it outside Gokaizen, except as your duties require and the law allows.
  • Your activity in the suite is recorded, including what you viewed or changed, when, and from where.
  • These obligations continue after your access ends.

Timekeeping

  • Clock in and out yourself, and only from where you actually are. Never clock in or out for another person.
  • When you clock in or out, the suite records your device's location at that moment and checks it against your authorized work sites, as described in the privacy policy.
  • Falsifying attendance records is a serious violation of company policy and may lead to disciplinary action.

Approvals and signatures

  • Approving a document, such as a payroll run, quotation or invoice, is a binding business action. Approve only what you have checked and are authorized to approve.
  • Your signature image is printed on documents you prepare or approve. Keep it current, and never upload another person's signature.

Your own data

Review your record and payslips under My Work and report any error to Human Resources or Payroll promptly.

Acceptable use

You agree not to:

  • share your account or credentials, or let anyone else sign in as you;
  • access, or attempt to access, accounts, data or systems you are not authorized to use;
  • probe, scan or test the security of the service without prior written permission from Gokaizen;
  • interfere with or disrupt the service, including through automated or excessive requests or malicious code;
  • use the service for any unlawful purpose or in breach of company policy.

Availability and changes

We work to keep the service available and secure, but we do not guarantee that it will be uninterrupted or error-free. We may change, suspend or discontinue any part of the service and carry out maintenance when needed, with prior notice where reasonably possible.

Suspension and termination

We may suspend or close an account, without prior notice where necessary, if it is used in breach of these terms, poses a risk to the service or to other users, or when the user's employment or engagement with Gokaizen ends. You may ask for your account to be closed at any time.

Limitation of liability

The service is provided on an "as is" and "as available" basis. To the extent permitted by law, Gokaizen is not liable for indirect, incidental or consequential loss, or for loss of data, profits or business, arising from the use of or inability to use the service. Nothing in these terms limits liability that cannot be limited under Philippine law, including liability for fraud, gross negligence or willful misconduct.

Changes to these terms

We may update these terms. The effective date at the top shows the current version. We will inform users of significant changes before they take effect. Continued use of the service after that date means you accept the updated terms.

Governing law

These terms are governed by the laws of the Republic of the Philippines. Any dispute arising from them is subject to the exclusive jurisdiction of the proper courts of the Philippines.
